Free Tours of Americollect's WebLink

Free tours of our weblink are available to anyone. These tours can either be self-guided or guided by one our sales or customer service team members. For self-guided tours use the following for username and password on the right hand side of the screen under Client Login:

For guided tours contact our sales or customer service team at 1-800-838-0100 and ask for Shawn, Bonnie, or a customer service team member. Please tell them that it is in regards to a guided tour of our weblink.

How to Receive Username and Password

To receive a username and password, you will need to complete the following steps.

  1. If necessary, ask for permission from your supervisor and have your supervisor email Americollect the permission.
  2. Email or call a customer service team member at 1-800-838-0100 or sales@americollect.com with the following: Company Name, Name, and client number (if known). Please comment that it is in regards to request for client weblink username and password.
  3. Sign our Privacy Statement regarding our Weblink

Logging on and getting started

On the right hand side below the picture, our address and contact information you will see “Client Login”. This is where you will enter your Username and Password. Our weblink will popup in a new screen. To navigate the new screen, use the left hand side frame for option from Searches to Reports.

Our http's secure server has a Multi Tech Route finder Firewall & the SSL Encryption Certificate ensures that we meet all privacy standards. A unique login and password for each of your employees is created to ensure confidential access.

Help!
If a new screen does not popup, try the following.

First, add Americollect to your "Trusted Site" list. To do this, click on Tools on the toolbar of Internet Explorer. Click on "Security" tab at the top. Click on the "Trusted Site" check mark. Click on the "Sites" button in the middle of the screen and add: https://home.americollectpay.com/bld/bld.

Second, make sure all popup blockers from Internet Explorer, Google Toolbars, or Yahoo toolbars have been turned off for our site.

Third, please call us at 1-800-838-0100 and ask for a customer service team member and state that you are calling in regards to Client Weblink problems.

Searching for an account

1. The first screen that will appear is the SEARCH screen. Enter one of the following or any combination in the SEARCH screen and press Search.
a) Name - You can search by just the Last name or Last name and first name. One comma immediately after the Last name and one space after the comma is needed to have a successful search.
Example: SCHMIDT, JOHN. We list health care accounts under the guarantor’s name not the patient's name. Our search is not case sensitive. You may choose to search by just last name if the name is not a common name.
b)  Account Number - we can search by your account number or our account number. If you have a printed listing of accounts, you will find this method the quickest.
c) Date listed range. The format of the date listed range is mm/dd/yyyy, which can be separated with either – or / . If you would like to check all accounts listed since a certain period leave the last date field blank.
d) Checkcollect Clients have more fields to query – below
  Bank ID: This is the ABA number or routing number of the bank.
  Bank Account Number: This is the check writer's account number if available. In some cases a bank number will not be available because the numbers are punched out.
  Check Number: This is the check writer’s check number. In some cases a check number will not be available because the numbers are punched out or it is a starter check.
 
2. A New Screen will Popup with the Following Listed.
a) Name
b) Account Number
c) Last Activity Date - this is the date you gave us when the account was listed, not the last time we worked on the account.
d) Balance - current balance since the last daily posting at Americollect.
e) PD - whether the account is paid (yes, no, rtn = returned).
d) CredCode - This is your client account number at Americollect.
 
3. Selecting an Account. To select one of the accounts just click on the blue debtor name of the individual account. Important: the results to do not generate another pop-up window like the search results did; they appear on the main Americollect weblink page below the Search area.
4. Definition of Labels. We have only included definitions of labels that may give you trouble, please contact us if you have additional questions.
Account Number: Your account number.

Agency Account Number: Our account number.

Status: Brief description of progress.

Listed: Date listed with Americollect.

Last Pay: Date of last payment, if blank no payment has been made.

Return: Date the account was canceled from our office, if blank the account was not returned.

Activity Date: The last date of payment made before it was listed or the date of service or charge.

Rate: The rate we are charging on the account.

Mail Return: NO means the address shown is good, YES means we received mail back from that address.

Address: This is usually the most current address we have for the debtor, but not always. If you think the person is at a different address, please send us a message via our WebLink.

Home Phone Number: IMPORTANT. Just because we have a phone number in the Home location, you cannot assume that this is the debtor’s home phone number; it may be a relative’s or a neighbor’s

Work Phone Number: IMPORTANT. Just because we have a phone number in the Work location, you cannot assume that this is the debtor’s work phone number, it may not be.
 
Report a direct payment made to your office
  1. Bring the account up on the WebLink. Need help Searching?
  2. Click on the Direct Pay button.
  3. Enter the amount of the payment, no dollar sign is required, but a decimal is required.
  4. Click to confirm or cancel.
  5. Close the Direct Pay pop-up window.
  6. If you find you have made a mistake, you can send us a message via the WebLink or you can contact us at 1-800-838-0100. We would prefer a telephone call instead of an email because we may not check the emails before we post the payment.
  7. Settlements. If you have a settlement, you can send us a message via the WebLink or you can contact us at 1-800-838-0100. We would prefer a telephone call instead of an email because we may not check the emails before we post the payment.
  8. Healthcare Insurance Adjustments. If you have regular adjustments, we can give you more permissions to make adjustments to the accounts or you can send us a message via the WebLink or you can contact us at 1-800-838-0100. We would prefer a telephone call instead of an email because we may not check the emails before we post the payment.
  9. Messages- Many times you will get information from the payment that needs to be forwarded to Americollect. You can call us or use the messaging on WebLink. Some of the information may be: new address or phone number, new spouse name, or somebody else is paying the debt for them: insurance company, attorney, or relative.

Send us a message regarding a particular account
  1. Bring the account up on the WebLink. Need help Searching?
  2. Click the Send Message button.
  3. Enter your message and click send or cancel.
  4. Close the Message Sent pop-up window.
  5. Need more room? If you need more room to write your messages, call us and we can customize the size of message room available.
 
Check recent payments on a particular account
  1. Bring the account up on the WebLink.  Need help Searching?
  2. Click the View Payments button.
  3. A payment pop-up window will show the date the payment was posted at Americollect, the type of payment (cash, check, ACHtel (e-Check), credit card or direct) and the amount.
  4. Close the Payment pop-up window.

  1. Bring the account up on the WebLink.  Need help Searching?
  2. Click the View Front or View Back button. The image may take a few seconds to develop. As with any of our pop-up windows, you can save the file, print it or email it to somebody.
  3. Close the View Image pop-up window.
 
List new accounts via the WebLink
  1. Select New Accounts from the left side WebLink home page once you are logged in. If you have multiple creditor numbers, you will need to click on Find Creditor and then select the creditor number that the account you are listing belongs to. You will need to manually enter that number in the Find Creditor blank.
  2. Click New Accounts button.
  3. Enter every field in with CAPITAL letters.
  4. Leave fields blank if you do not have information, instead of entering NA or anything else.
  5. Please review all of the blanks first before you start entering. This will be helpful when you first start using the WebLink.
  6. We normally enter the Husband’s name as Responsible Party when a husband and wife are both responsible for a particular bill. If you are entering a business, enter the business name in the Responsible Party Last Name field.
  7. Phone numbers: All phone numbers must have an area code and be separated by dashes. It is not necessary to put 1 in front of a long distance number.
  8. Dates: All dates should be entered in a mm/dd/yyyy format.
  9. Social Security Numbers: All social security numbers need to have dashes in them. Please do not enter the patient's SS# in the responsible party's SS# field.
  10. Addresses:  We enter addresses in a format that has been approved by the US Postal Service and by the major credit bureaus. Please use all capitals and do not abbreviate any street or city name. Please click on our Address Standardization Chart.
  11. Zip Codes: You can enter a 5 or 9 digit zip code. 55555 or 55555-1234.
  12. Click Accept when the information is complete.
 
Below are the Different Reports Available to View, Print, or Download into Excel. These are available on the left hand side of the Weblink.
  1. Progress Report - The progress report is the most detailed report we have for individual debtors. You can run this report for different date ranges, account balances, and sort the files in different orders and other variables. Because of the report's details and variance, it will take some time to generate. We suggest that you contact us and let us know what information you are looking for before you start generating the report. We can help you fill in the correct search criteria to get the information you would like.
  2. Account Summary - This report gives you statistical data about the number of accounts listed, average balance, number of accounts collected, amount listed, amount collected, percentages and balance left to collect. This is the most popular report because of its inclusiveness.
  3. Historical Month End Reports - You will never need to keep a paper file of ourmonth end reports because they will always be online. The reports include: collection statements and cancellation reports. However, they only go back as far as May 2000 because that is when we started imaging the reports.
  4. New Acknowledgement of Accounts. You can choose to print or display new or previous acknowledgements of accounts going back to May 2000.
